Defining File Properties

You can set file properties such as the heading, description, and permissions for a selected file.

To view and edit file properties

  1. In the Project Files section of the View menu, click View Files.
  2. On the file row, click Properties.

    The File Properties window appears.

  3. On the General tab, edit the file information.
  4. On the General tab, view additional information about the file.
  5. On the Security tab, specify the users and user groups who have security access to this file.
    1. To add a new user or user group, click New.
    2. Select the users in the Sel column, or select the groups in the Group column.
    3. To add the selected users and user groups, click > Save and Exit.
  6. On the Security tab, set permissions for each user.
  7. Select... To Let Users...
    Read Perm. Read the selected file properties.

    Important: If the check box is cleared, the Security tab is removed for the selected file, and users cannot view or set permissions for the selected file.

    Download Download the file.
    Open Files View files.

    Note: If the Download check box is selected but the Open Files check box is not selected, the user can still view the file.

    Redline Use redlining to annotate photos, diagrams, and other documents.
    Delete Delete files.
    Change Perm. Modify the file permissions.

    important: Only users with 'Change Permission' and 'Read Permission' can set file security/permissions through the Security tab.

  8. On the Links tab, you can view all the records that the file is linked to.
  9. Note: The Links tab is displayed only when the file is linked to at least one record.

  10. On the Version History tab, you can view, download, copy a file link to the clipboard, and delete file revisions.
  11. Note: The Version History tab is only displayed when the file has more than one version.

  12. To save the changes and keep the window open, click > Save.

    To save the changes and close the window, click > Save and Exit.
